EVENT REGULATIONS “Sounds of Veritas Festival”
§1 GENERAL PROVISIONS
On July 4-6, 2025, Veritas Foundation, headquartered in Wrocław at ul. Skarbowców 23B/A1/014, 53-025 Wrocław, identified by NIP: 8992861984, KRS: 0000784405, hereinafter referred to as the Organizer, organizes an event named “Sounds of Veritas Festival,” hereinafter referred to as the Festival, at the location Stara Morawa 7, 57-550 Stara Morawa, hereinafter referred to as the Venue.
These Regulations define the terms of participation and the rules of conduct for individuals present at the Festival, hereinafter referred to as Participants, including the organizational and order provisions regulating:
- Admission of Participants to the Festival,
- Rights and obligations of Participants,
- Prohibited actions that Participants must respect,
- The liability rules for individuals, including Participants, for actions contrary to applicable legal regulations, including violations of these Regulations.
The purpose of these Regulations is to ensure the safety of the Festival by establishing rules for the behavior of Participants and their use of the Venue and its facilities, as well as to regulate the rights and obligations of Participants in connection with admission to the Festival.
In addition to the provisions of these Regulations, all Participants are required to comply with:
- applicable laws and regulations.
Each Participant of the Festival is obligated to familiarize themselves with these Regulations, and participation in the Festival signifies acceptance of the Regulations by the Participant.
Due to the nature of the Festival, the Organizer does not provide health insurance (including accident insurance). Participants may obtain insurance on their own. The Organizer of the Festival bears no responsibility for any unforeseen events resulting in health or life loss.
As a general rule, the Festival does not constitute a mass event within the meaning of the Act of March 20, 2009, on the safety of mass events (Journal of Laws 2009 No. 62, item 504, as amended).
§2 ENTRY TO THE FESTIVAL
Admission to the Festival is free.
The Organizer, in accordance with applicable legal regulations, may refuse entry to the Festival to:
- Individuals visibly under the influence of alcohol, intoxicants, psychotropic substances, or other similarly acting substances, especially those increasing aggression,
- Individuals possessing weapons or other dangerous objects, explosives, pyrotechnic products, fireworks, fire-hazardous materials, alcoholic beverages, or intoxicants,
- Individuals unable to confirm their identity,
- Individuals behaving aggressively, provocatively, or in any way that poses a threat to public safety or order.
The assessment of objects and their classification as dangerous rests with the individuals authorized by the Organizer to ensure order and safety at the Festival (hereinafter referred to as “Security Services”), who hold appropriate identifiers.
The Organizer may refuse entry and prohibit the use of professional cameras, camcorders, or other professional recording equipment. Amateur cameras and mobile phones with recording devices are allowed.
If a Participant of the Festival is under 18 years of age, they may only participate under the supervision of an adult. The guardian bears full responsibility for the minor while they are at the Festival Venue, from entry until departure.
§3 ORGANIZATIONAL AND SAFETY RULES DURING THE FESTIVAL
The Organizer ensures the safety of Participants and order during the Festival, particularly through Security Services.
Security Services may issue their own safety instructions, including epidemic and fire safety instructions, in accordance with applicable legal regulations.
Security Services are authorized to:
- Check individuals to establish their identity,
- Inspect luggage and clothing of individuals suspected of carrying prohibited or dangerous items,
- Issue order instructions to individuals disturbing public order or behaving contrary to the regulations,
- Detain individuals posing an immediate threat to protected assets or committing prohibited acts for immediate transfer to the police.
Participants and all other individuals at the Festival are required to comply with the instructions of Security Services. Refusal to comply with these instructions is only permissible if they contradict generally applicable legal provisions.
At the Venue, it is prohibited to:
- Undertake actions aimed at disrupting or interrupting the Festival,
- Use offensive, vulgar language, display or shout slogans containing vulgar, racist, or inciting content, particularly related to race, nationality, religion, social issues, or sexuality,
- Display banners not previously approved by the Organizer,
- Throw objects,
- Ignite fires or smoke tobacco in prohibited areas,
- Relieve oneself outside designated restrooms,
- Litter,
- Block exits and evacuation routes,
- Bring, possess, or use unmanned aerial vehicles, drones, or other airborne objects without the Organizer’s consent,
- Bring and use cameras, sound recording equipment, and professional photography equipment, including cameras with interchangeable optics and zoom above 6x. Photos may be taken only for private purposes, ensuring that they do not obstruct the stage view for others or disturb nearby individuals.
Participants of the Festival and all other individuals at the Venue are required to behave in a manner that does not endanger the safety of others and, in particular, to comply with these Regulations. It is forbidden to destroy markings, informational signs, advertising media, equipment, and installations at the Venue, as well as any other property. Participants must use sanitary facilities only as intended.
Conducting any commercial or other profit-making activities, as well as advertising or promotional activities at the Venue, without the Organizer’s authorization, is prohibited.
During the Festival, the Organizer, Participants, and other individuals at the Venue are required to comply with the provisions of the Act of October 26, 1982, on upbringing in sobriety and counteracting alcoholism.
There is a total ban on lighting fires, grilling, and using open flames outside designated areas specified by the Organizer.
§4 RIGHTS AND OBLIGATIONS OF PARTICIPANTS
Each Participant is required to:
- Behave in a manner consistent with social coexistence principles, ensuring they do not endanger others’ safety while adhering to these Regulations.
- Follow the orders and instructions of the Organizer, Security Services, and the announcer. In the event of intervention by law enforcement or emergency services, Participants must comply with their instructions.
Each Participant is fully responsible for any damages they cause at the Festival or accommodation site (including hotels), affecting other Participants, the Organizer, or the accommodation facility.
The Organizer is not responsible for unattended personal belongings left by Participants.
§5 PROCESSING OF PERSONAL DATA
- The administrator of the Participants’ personal data is the Veritas Foundation, headquartered in Wrocław, ul. Skarbowców 23b/A1/014, postal code: 53-025. KRS: 0000784405, NIP: 8992861984, REGON: 38326172.
- Participants’ personal data will be processed in connection with the organization of the Festival, including for the purpose of documenting, promoting, and advertising the Festival as well as promoting and advertising the Organizer and the Festival’s sponsors (Participants’ image).
- Providing personal data and consenting to its processing is voluntary but necessary for participation in the Festival and to achieve the purposes mentioned in section 4 above. Failure to provide personal data or lack of consent for processing will prevent participation in the Festival.
- Participants’ personal data will be disclosed to employees, collaborators, and subcontractors of the Organizer to the extent necessary for achieving the purposes specified in section 4 above.
- Consent to the processing of personal data may be withdrawn at any time without affecting the legality of data processing before its withdrawal. For effective withdrawal of consent, a written statement in any form that allows the administrator to become aware of the will of the person concerned is sufficient.
- Withdrawal of consent means resignation from participation in the Festival.
- Personal data will not be transferred to third countries.
- Every person whose data is processed has the right to access their data, rectify it, request deletion, restrict processing, and file a complaint with the supervisory authority – the President of the Personal Data Protection Office if they find that the data is processed unlawfully.
- Photos taken during the Festival may be used in promotional materials of the Festival and the Organizer. Participation in the Festival is associated with consent to the free use of the Participant’s image captured in the form of a photograph or video recording and granting the Organizer a free license to use it in all fields of exploitation, including: recording and distributing in any form and storing it in computer memory, using it for the promotion and organization of the Festival by the Organizer, sharing it with Festival sponsors and the Organizer’s partners for their promotion in the context of participation in the Festival, posting and publishing it in publications about the Festival, in promotional printed materials of the Organizer, in the press, on websites, and in television and radio broadcasts.
- Acceptance of the regulations is necessary for participation in the Festival. Lack of acceptance of the regulations means resignation from participation in the Festival.
§6 FINAL PROVISIONS
- The status of a Festival sponsor is granted exclusively by the Organizer.
- The Organizer reserves the right to: a. make changes to the course of the Festival due to unforeseen and unavoidable reasons beyond the Organizer’s control, as well as the right to determine and change the program artistically, substantively, and in terms of time without prior consultation and compensation, b. cancel or withdraw from the Festival due to reasons beyond the Organizer’s control without prior notice and without the obligation to pay compensation or damages to any persons, c. pursue claims for damages caused by the Participant, including for violating the Organizer’s good image, d. invalidate an invitation, Identifier, or any other document authorizing entry to the Festival area not accessible to the public, in accordance with applicable law.
- The Organizer has the right to amend the Regulations, in particular due to the need to ensure the proper course of the Festival and the safety of Participants. The Organizer informs about changes to the Regulations on the Festival’s website, i.e., https://soundsofveritasfestival.com/.
- The Organizer is not responsible for the consequences of force majeure. Force majeure is understood as an event beyond the Organizer’s control that makes the fulfillment of obligations impossible or may be considered impossible due to prevailing circumstances. Force majeure includes, in particular: weather conditions, failures or disruptions in the operation of devices supplying electricity, heat, light, acts of war, or actions of state or local authorities in the formulation of policies, laws, and regulations affecting the fulfillment of obligations.
- In the event of a change in the Festival’s date, program, or location due to force majeure or other reasons beyond the Organizer’s control, the Organizer is not liable for the mentioned changes.
- In matters not regulated by these Regulations, decisions are made by the Organizer.
- In matters not regulated in the Regulations, generally applicable legal provisions apply.
